Kibu is extending its person-centered documentation into Care Tasks, a system that aims to combine every record, whether scheduled or ad-hoc, that reasonably falls outside of a daily Service Record.
Care Tasks combine Kibu’s existing eMAR, Quick Forms, and a new input method: Scheduled Quick Forms. This is all part of our vision to allow any scheduled or ad-hoc data point to be easily recorded in Kibu while maintaining an intuitive staff input experience. All four of the buckets would qualify as a Care Task in Kibu:
Care Tasks can be recorded by Staff via “Care Tasks” on the left sidebar, a member’s “Care Tasks” tab, or a group’s “Care Tasks” tab. The latter two can be used for back office analytics.

On a member's profile, Care Tasks displays a monthly view where coordinators can see every scheduled item at a glance, filter between eMAR and Quick Forms, and export or print records. Here is also the to “+ Add” a scheduled Quick Form or Medication to track for that member.

On the group page, Care Tasks provides a daily operational view. Staff select a date and see all members' tasks organized by time buckets (e.g., 8:00 AM, 12:00 PM), making med passes and quick form rounds easy to work through. PRN medications are available in a dedicated area:

Service Records have been completely rebuilt with a new design focused on clarity and speed.

The new drawer uses a card-based layout — attendance, time tracking, notes, and documentation each have their own section. The timeline panel can be toggled independently, and documentation fields now auto-save as you type. The Magic Pen AI assistant has been rebuilt with a new algorithm, preview, and review flow, so staff can review AI-generated content before it's saved.

The service records table has also been updated with a new layout- optimizing for different screens and speed.
Organizations can now define training records and track staff compliance directly in Kibu.

Admins create training records in Settings, assign them to staff, and monitor completion from a new Mission Control dashboard that can be viewed by training or by staff member. Bulk actions make it easy to mark trainings complete, assign staff, or flag records as outdated.
Training Records also support compliance enforcement — organizations can configure trainings to block actions like signing service records or administering medications until the required training is complete. Staff see their assigned trainings on a dedicated review page.
Forms now support digital signatures with a full audit trail.

When signatures are enabled on a Form, staff can sign forms directly in Kibu. Signed Forms automatically lock and mark as complete. If a signed form is later edited, all signatures are invalidated and the form reverts to in-progress, ensuring the signature always reflects the current data. Forms without signatures enabled can be manually marked as complete.

Behaviors, seizures, blood pressure, bowel movements, menses, meal entries… how do you track the things that happen outside of daily documentation? Kibu is happy to announce Quick Forms, a new way to capture ad-hoc or event-based information that is not directly tied to ISP goals or end-of-day notes. Quick Forms are designed for observations and incidents that may or may not occur each day, giving staff a lightweight, structured place to log important details the moment they happen.
Some softwares force you into their forms. But with Quick Forms, each organization defines their own forms so the structure of the data reflects real-world workflows. Once created, these forms become available directly on a member’s profile through the + Quick Form button on both web and mobile. Submissions are stored in tables, making it easy to review entries over time, download records, and analyze trends.
More features, like email notifications on submissions, will be coming shortly to Quick Forms.

Real DSPs work on their feet, so this release includes a major mobile upgrade designed to better support how staff actually work. The improvements focus on two core areas: Service Records and eMAR.
The mobile app now follows a group-first workflow. Staff begin by selecting a group, then can quickly switch between Service Records and eMAR. This mirrors how staff think about their day and reduces time spent searching for the right context.
Service Records have been fully redesigned on mobile. The new layout is built for clarity, supporting multi-staff notes (more below), easier time tracking, and faster navigation to past dates.
eMAR has also been redesigned to live within each group instead of a single global list. Staff can quickly see which medications are due now within the last and next hour, which are upcoming, and which were missed in the last 24 hours. The medication administration flow now closely matches the web app experience. For a full walkthrough of these changes, see the video from Kibu’s Head of Product, Ben Langley.

Previously, only one staff member could be assigned to a member within a group. This created limitations for programs with shifts, rotating staff, or compliance requirements that require each staff member to document independently.
This release introduces Multi-Staff Notes, which allows multiple staff members to be assigned and document separately.
Each group now has an Enable multiple staff notes setting
When enabled, multiple staff can be selected for a member using the plus (+) button in the Assigned Staff column

Life Plan Acknowledgements give organizations a clear way to ensure staff review updated or expired Life Plans before moving forward with documentation. The feature is designed to support compliance without interrupting day-to-day workflows more than necessary.
Acknowledgement are configured by admins from the Global Settings page. Admins can choose to show staff a reminder or require an acknowledgement before a Service Record can be signed. Acknowledgements can automatically be re-required after a set number of days, and email notifications can be sent when an acknowledgement becomes outdated or manually requested.
Each member profile includes a full acknowledgement log that shows which staff members have reviewed and acknowledged the Life Plan and when. This provides a clear audit trail and makes it easy for organizations to track compliance over time:

To make eMAR more robust for larger organizations, we introduced pharmacy integrations. Instead of staff manually entering scheduled medications and PRNs, prescriptions are automatically added through the integration and reviewed before becoming available for administration.
This release includes the foundational infrastructure needed to support direct pharmacy connections, with our first partner being NeighborhoodRX and the system designed to support many more pharmacies in the future.

We introduced a new organization-level setting that allows teams to track and enforce acknowledgements of a member’s Life Plan Goals. When enabled, organizations can decide whether acknowledgements are optional, shown as reminders on Service Records, or required before a Service Record can be signed.
This release also adds controls for re-acknowledgement. Teams can require staff to re-acknowledge when a Life Plan changes or after a configurable number of days, ensuring acknowledgements stay current over time. Admins can view acknowledgement history, assign staff, and review the full Life Plan directly from the acknowledgement flow.

We improved how Service Records handle Life Plan Goals that become inactive or complete. Previously, when a goal was marked inactive or complete, tasks could disappear from open Service Records even if the goal was active at the time the service occurred.
With this update, Tasks will continue to appear on Service Records for dates prior to when the goal was marked inactive or complete. This ensures staff can accurately document services that occurred while the goal was still active, even if the goal status has since changed.

Welcome to the new Kibu Changelog! This complements our Newsletter by providing a clear, objective summary of product improvements. Each changelog is delivered by email and published on our site, accessible anytime through our chat widget.

Clara now supports a wider range of data types for generating member reports, enabling richer summaries across profile information, daily notes, life plans, medical information, medication records, and forms.

We also added new export options, allowing users to download reports in PDF or Word formats, as well as saving directly to a member’s “Files” tab.

We introduced a fully redesigned experience for tracking and visualizing Life Plan goal progress. The new Explore view lets users click into any goal, filter data by date, and navigate insights with ease.

When a formal, shareable document is needed, users can generate a polished, printable report in one click and save it for future reference. This update makes goal reporting faster, clearer, and more actionable.

We expanded our medication administration statuses to give staff clearer, more accurate documentation options. The eMAR now includes dedicated icons for Held, Refused, and Absent, along with improved indicators for doses not administered or administered incorrectly. These updates help customers capture precise medication outcomes and strengthen compliance and reporting across their programs.

Kibu has partnered with Featurebase to introduce a new support widget- offering live chat, Changelogs (like these), and links to our Resource Center. We’re excited to roll out more features with Featurebase, like roadmap and product updates, soon!
